General Participation


Q: What is ReBuild Ukraine 2026?

A:  ReBuild Ukraine 2026 is an international exhibition and conference focused on the recovery, reconstruction, modernization, and long-term development of Ukraine. The event brings together governments, international financial institutions, businesses, municipalities, investors, and solution providers to discuss and showcase projects, technologies, and partnerships supporting Ukraine’s recovery.


Q: When and where will the event take place?

A: ReBuild Ukraine 2026 will take place in Warsaw, Poland on 12-13 November 2026. Practical details can be found on the official event website: ReBuild Ukraine | 12-13 November 2026


Q: Who can participate in the Swedish Pavilion?

A: The Swedish Pavilion is open to Swedish companies, organizations, and stakeholders interested in contributing to Ukraine’s recovery and strengthening Swedish-Ukrainian business cooperation. Participation is particularly relevant for companies offering solutions, technologies, services, or expertise aligned with reconstruction and sustainable development priorities.


Q: What industries and sectors are represented at the event?

A: ReBuild Ukraine covers a broad range of sectors related to reconstruction and recovery, including energy, infrastructure, construction, transportation, manufacturing, water and wastewater, healthcare, housing, digitalization, security, sustainability, and municipal development.


Q: How many participants are expected at ReBuild Ukraine 2026?

A: The event is expected to attract thousands of participants from across Ukraine, Europe, and the international community, including business representatives, government officials, investors, donors, development institutions, and project owners involved in Ukraine’s recovery efforts. In 2025, ReBuild Ukraine Conference welcomed more than 6,000 participants, highlighting the growing international interest in Ukraine’s reconstruction and investment opportunities.


Q: Can companies participate without having a stand?

A: Yes. Companies may participate in the event through visitor passes, conference attendance, networking activities, B2B meetings, sponsorship opportunities, or delegation participation without booking an exhibition stand. Companies interested in joining the Swedish Pavilion without a stand may also consider the People Package, which includes one participant pass together with company branding within the Pavilion and access to Pavilion networking and program activities.


Q: Is participation limited to Swedish companies only?

A: No. While the Swedish Pavilion is designed to promote Swedish business engagement and solutions, the broader ReBuild Ukraine event is international and welcomes participants from different countries, sectors, and organizations involved in Ukraine’s reconstruction and investment landscape.


Registration & Application


Q: How can I register for participation?

A:  Registration for participation in the Swedish Pavilion can be completed through this official Swedish Pavillion page. After registration, participants will receive detailed information via email, including the next steps and participation process.


Q: What is the registration deadline?

A: There is currently no fixed registration deadline. However, we encourage companies to register early due to the limited availability of participation packages and exhibition space.


Q: When will I receive confirmation of participation?

A: Confirmation of participation will be provided following the signing of the participation package and agreement.


Q: Is there a limit to the number of participants per company?

A: Yes. Please refer to the selected participation package for the number of delegates included. Additional participation options may be discussed separately depending on availability.


Q: Can additional delegates be added later?

A: Yes. Please refer to the selected participation package for the number of delegates included. Additional participation options may be discussed separately depending on availability.


Q: Can we change participant names after registration?

A:  Yes, participant names can be changed after registration. Please inform the organizing team as early as possible to ensure proper coordination and badge preparation.


Q: Is stand allocation done on a first-come, first-served basis?

A: Yes. Stand allocation is handled on a first-come, first-served basis and depends on the timing of confirmed participation and package selection. Early registration is therefore strongly recommended.


Packages & Exhibition Space


Q: What is included in the exhibition stand package?

A:  Depending on the selected participation package, companies may receive a fully equipped exhibition stand with company branding, participant passes, presentation opportunities within the Pavilion program, networking access, and additional support services. Selected packages may also include matchmaking support, preparation meetings, and post-event follow-up activities.


Q: Can we customize our stand branding?

A: No. Stand branding and visual design are standardized within the Swedish Pavilion concept and cannot be customized individually.


Q: Is electricity, Wi-Fi, and furniture included?

A: Yes. The exhibition stands are fully equipped and include standard furniture, electricity, and Wi-Fi access as part of the exhibition setup.


Q: Can we bring our own marketing materials?

A: Yes. Participants are encouraged to bring brochures, promotional materials, product samples, and other company materials for display and networking purposes. Please note that roll-ups and larger branded materials must be coordinated and approved in advance with the organizing team to ensure alignment with the Pavilion layout and branding guidelines.


Q: Are meeting rooms available for private discussions?

A: Dedicated meeting rooms will not be available within the Pavilion area. However, participants will have access to designated meeting tables for business discussions and networking meetings. Please note that meeting table bookings should be coordinated with the organizing team no later than the end of August, subject to availability.


Q: Are translation and matchmaking services included in all packages?

A:  Translation and dedicated matchmaking services are included in selected participation packages, such as the Partner Package. Please refer to the package overview for detailed information on included services.

Matchmaking & Meetings


Q: How does the matchmaking process work?

A: The matchmaking process is coordinated by the organizing team prior to and during the event. Based on participating companies’ profiles, interests, and objectives, relevant meetings and introductions with potential partners, stakeholders, and institutions are facilitated to support meaningful business dialogue and cooperation opportunities.


Q: Can Business Sweden arrange meetings with Ukrainian stakeholders?

A: Yes. Business Sweden can support participating companies in identifying and arranging meetings with relevant Ukrainian stakeholders, including government representatives, municipalities, companies, investors, and sector-specific organizations, depending on the selected participation package and meeting availability.


Q: Can companies request specific counterparties or institutions?

A: Yes. Participating companies are welcome to indicate preferred counterparties, organizations, institutions, or business contacts they would like to meet. The organizing team will make reasonable efforts to facilitate relevant introductions and meeting opportunities.


Q: Are interpretation services available during meetings?

A: Interpretation and translation services are available within selected participation packages. Additional language support may also be arranged upon request and subject to availability.


Q: Will there be networking receptions and side events?

A:  Yes. The Swedish Pavilion program includes networking activities, receptions, and side events designed to facilitate business connections, stakeholder engagement, and informal discussions among participants and partners throughout the event.


Payment & Contracts


Q: When must payment be completed?

A:  Payment details and deadlines will be provided upon confirmation of participation and signing of the participation agreement. Participation is considered confirmed once the agreement process has been completed.


Q: Is VAT included in the participation fee?

A: VAT treatment will be specified in the official invoice and depends on the applicable regulations and the participant’s legal entity status.


Q: Will a participation agreement be signed?

A: Yes. A participation agreement will be signed between the organizing party and the participating company prior to confirmation of participation.


Q: Can the invoice be issued to another legal entity?

A: Yes. During the registration process, participants will be asked to provide the invoicing details of the legal entity responsible for payment. The invoiced company details will also need to be reflected in the participation agreement. Please ensure that the correct legal and invoicing information is submitted during registration.



Q: Are participation fees refundable?

A: Participation fees are generally non-refundable after confirmation and agreement signing. Any exceptions or cancellation terms will be outlined in the participation agreement.

Logistics & Travel


Q: Are participants responsible for arranging travel and accommodation?

A:  Yes. Participants are responsible for arranging and covering their own travel and accommodation expenses.


Q: Is there a recommended hotel for participants?

A: Yes. We recommend booking accommodation at Radisson Blu Sobieski. Registered participants will receive a promotional booking code providing access to special accommodation rates at the hotel.


Q: Will transportation between the hotel and venue be organized?

A: No. Participants are responsible for arranging their own transportation between the hotel and the event venue. However, practical information and recommendations regarding transportation options may be shared closer to the event date.


Q: Is storage space available on-site?

A: Limited storage space may be available within the Pavilion area for participant materials and equipment. Additional details will be provided during the preparation process.


Q: Are catering and refreshments included?

A: Selected networking activities and receptions include catering and refreshments as part of the Pavilion program. Additional food and beverage options will also be available at the event venue for participants’ own expense.



Post-Event Support


Q: Will participants receive follow-up support after the event?

A: Extended post-event follow-up support is provided within the Partner Package and may include continued dialogue, relevant contacts, and support related to business opportunities and engagement in Ukraine’s recovery initiatives.


Q: Can Business Sweden support continued matchmaking after the exhibition?

A: Continued matchmaking support and follow-up dialogue with relevant Ukrainian stakeholders and partners are provided within the Partner Package.



Q: Will participant contact lists be shared?

A: Participant contact information may be shared only in accordance with applicable data protection regulations and participant consent. As a general practice, the list of participants within the Swedish Pavilion is usually shared with Pavilion participants closer to the event date. Q: Will photos and media materials from the event be available afterward?

A: Yes. Selected photos, videos, and media materials from the event and the Swedish Pavilion activities will be made available to participants after the event. 


Q: Are there opportunities for long-term engagement in Ukraine-related initiatives after the event?

A: Yes. The event is intended to support long-term cooperation and business engagement related to Ukraine’s recovery and development. Participants may explore future initiatives, partnerships, market opportunities, and sector-focused activities together with relevant stakeholders and organizations.
